Personally identifiable information

We collect personal information when you engage with this site, including when you register, submit an enquiry form or book a school tour. You may be asked for your name, email address and phone number.

You can visit the site anonymously, and you may decline to provide personal information, though this may prevent you from using parts of the site that depend on it.

Non-personally identifiable information

We automatically gather technical information about your visit, such as browser type, device and computer specifications, operating system and internet service provider details.

Web browser cookies

Our website uses cookies. Google Analytics measures how visitors use the site, with IP addresses anonymised. With your consent, the Google Ads tag and the Meta pixel also measure which of our advertisements lead to enquiries, and let us show our advertising to people who have visited the site.

You can accept or decline these advertising cookies in the notice shown on your first visit. You can also set your browser to refuse cookies, though some parts of the site may then not work as expected.

When you send an enquiry, we record how you reached our website, such as the advertisement or search that brought you, so that our admissions team can follow up and we can see which of our advertising works.

How we use collected information

Personal information is used to respond to enquiries and improve our service, to personalise the aggregate user experience, to improve how the site works, to run promotions and surveys, and to send communications about admissions and school updates where you have opted in.

Enquiry forms, WhatsApp and our admissions system

The enrolment, school tour and contact forms on this site work in two ways at once. First, they open WhatsApp on your own device with your enquiry written out, ready for you to send to our registrar. Nothing is sent until you press send, and the message then travels through WhatsApp under WhatsApp’s own terms and privacy policy, not ours.

Second, the details you entered are recorded in the admissions system our group operates for the school, so that your enquiry is not lost and our registrar can see it, answer it and follow it up. Depending on the form, that record can include your name, e-mail address, telephone number, country of residence, your child’s name and date of birth, the grade and academic year you are asking about, how you heard about us, and anything you wrote in the message box.

When you arrive from one of our advertisements, we keep the advertising click identifier and campaign details with your enquiry. We use them to measure which campaigns lead to admissions, and we may share the outcome of an enquiry with our advertising partners (Google and Meta) in pseudonymous form, never your name or contact details.

This information is used to answer your enquiry and to manage the admissions process. It is not sold, rented or traded, and it is not used for anything unrelated to your child’s application. If you would like to see what we hold about you, correct it, or have it deleted, write to registrar@maplewood.school and we will act on your request.

Email communications

We use email addresses for admissions enquiries and tour bookings. If at any time you would like to unsubscribe from receiving future emails, we include detailed unsubscribe instructions in our messages.

How we protect your information

We apply appropriate data collection, storage and processing practices, along with security measures, to protect against unauthorised access to or alteration, disclosure or destruction of your personal information.

Sharing your information

We do not sell, trade or rent your personally identifiable information to others. Aggregated demographic information that is not linked to any personal identifier may be shared with business partners.

We have the discretion to update this privacy policy at any time. We encourage you to review this page regularly so that you stay informed about how we are protecting the information we collect.
